What is the process for saying goodbye to a patient at the clinic?

Steps for a Professional Farewell to a Patient

Saying goodbye to a patient is a key phase that strengthens the emotional bond between the clinic and the patient. It is a moment that must be handled with the utmost respect and professionalism to leave the door open for future contact and build patient loyalty. This phase will likely be one of the most memorable for the patient.

1. Review of Outstanding Payments

The receptionist will ensure there are no outstanding payments before proceeding with the farewell.

2. Gathering Patient Feedback

It is essential to gather the patient’s feedback on the care received. To do so, the patient will be provided with a questionnaire, following each clinic’s specific procedure for measuring satisfaction. The results will be analyzed periodically to identify areas for improvement and to compile a monthly satisfaction report.

3. Post-Treatment Instructions

The patient will receive all necessary instructions for maintaining the treatments performed, along with dental hygiene advice. They will be provided with information on periodontal maintenance, the removal of implant-supported prostheses, and the need for follow-up X-rays. In addition, they will be given a folder containing all relevant documentation.

4. Implant Warranty Card

If the patient has implants, they will be given a card indicating the brand and warranty of the implants, as well as a card for the “preventive plan” that they must follow each year.

5. Reminder for Preventive Visits

The patient will be reminded of the prevention and hygiene department, whose goal is to maintain oral health and prevent diseases. They will also be informed of the cost of these services, and their consent will be requested to contact them and remind them to schedule an appointment for their follow-up visit and hygiene treatment.

6. Appointment Confirmation and Personalization

If an appointment has already been scheduled, it will be noted on a card with the clinic’s contact information. To make this gesture even more personal, you can include a photo of the clinic director and handwrite a phone number. In addition, a reminder of the appointment could be sent via phone call or text message.

7. Referrals and Recommendations

The patient will be asked to refer the clinic to friends and family. If they do so, the patient will become part of our community.

8. Complimentary Gift

As a token of appreciation, the patient may be presented with a complimentary gift for their trust.

9. Escort to the Exit

Finally, the receptionist will escort the patient to the exit with kindness and courtesy, leaving a positive final impression.

This farewell protocol not only aims to ensure patient satisfaction but also to foster a lasting and positive relationship, guaranteeing that the patient feels valued and well cared for at every stage of their experience with the clinic.
